The Paid Time Off Calculator is a user-friendly tool designed to help employees and managers accurately determine accumulated leave based on work schedules and accrual policies.

With clear inputs and instant results, it simplifies vacation planning, payroll management, and HR coordination while eliminating manual calculation errors and saving time.

Calculate your Paid Time Off (PTO) balance using two different methods:

  • Based on Pay Periods – For salaried employees with regular pay cycles

  • Based on Hours Worked – For hourly employees or those with variable schedules

Method 1: Based on Pay Periods

Step-by-Step:

  1. Select the “Based on Pay Periods” tab

  2. Enter Your Information:

    • Annual PTO (Days): Your total yearly vacation days (e.g., 15)

    • Hours per Workday: Typical workday hours (usually 8)

    • Pay Periods per Year: Choose from dropdown:

      • Monthly (12)

      • Semi-monthly (24)

      • Bi-weekly (26)

      • Weekly (52)

    • Pay Periods Worked: How many pay periods you’ve completed this year

    • PTO Already Used: Hours of PTO you’ve already taken

  3. Click “Calculate PTO”

  4. View Your Results:

    • Annual PTO Hours

    • PTO earned per pay period

    • Total accrued PTO

    • Remaining available PTO

Method 2: Based on Hours Worked

Step-by-Step:

    1. Select the “Based on Hours Worked” tab

    2. Enter Your Information:

      • Total Annual PTO (Hours): Your yearly PTO allowance in hours

      • Total Annual Work Hours: Your expected yearly work hours

      • Hours Worked So Far: Actual hours worked this year

      • PTO Already Used: Hours of PTO already taken

    3. Click “Calculate PTO”

    4. View Your Results:

      • Your hourly accrual rate

      • Total PTO earned so far

      • Remaining available PTO
